Current situation

EKR-PE was introduced in partnership with SST for the creation of manuals.
The goal was to have a dynamic management of the machine manuals.

BLM products are articulated and specific.
The realization of the manual is complex, slow and laborious.

The contents have been totally reorganized.
The translations already present in the management software have been linked to the publications.
The manual is produced in Italian by combining the translations of the management software with those of external studies in a single database.
Depending on the configuration of the machine given by the management software, the manual is reorganized.
The order for a machine for a specific customer is entered in the BLM management system.
The system elaborates the “Master” manual created by SST and creates the filtered version specific for the customer.
The needs of different companies (SST and BLM) were met by a unique technology: EKR-PE.

In Autec the manuals were produced using Adobe FrameMaker.
The continuous customization of the products required a great effort to be able to obtain manuals configured according to the customized product.
The company was oriented to the structured management of contents and had tried to make everything concrete but with tools that were not really structured.

Needs

The manuals had to be produced with a new environment while maintaining the quality and flexibility of the hand tool.
It was necessary to manage with great accuracy every single sentence and every single component of the manual.
This required a very onerous manual verification and approval cycle with unstructured tools.
The content management tool had to be integrated with the existing ISO quality management system in the company.
The manuals had to be part of the lean production initiative in which Autec was involved.

Every content is now in the right place and is correctly labeled.
A strong modularization of contents has been introduced based on the configuration characteristics of the individual machines.
EKR-PE is used for the production of cards for internal use for the assembly of radio controls, for standard production and for customized production.
The new documentation management has reorganized the working methods of the various offices and highlighted the contribution of each individual user.
In Autec, a visual configurator for the radio control interface has been prepared.

EKR-PIM in Arol: not just manuals

Arol had been producing manuals for years using a partially structured, very rigid environment that did not fully respond to the company’s publishing needs.
The company was using QuickSilver which was no longer state of the art and compatible with the XML format.
The previous system required the company to involve a small number of possible partners for translations.
On the part of the owners, there was a strong need to integrate all the knowledge of the product within a dynamic and extensible platform that went from the world of manuals to the world of marketing.

Needs

The first requirement was to create highly customized manuals for machines and manage the technical data sheets.
Each machine produced had a specific configuration and was the aggregate of many components and accessories, each of which characterized by a specific set of information.
Translation management had to be flexible and efficient.
The working method had to involve many people in the company with different roles, ranging from those who configured the machine, to those who did the description part up to those who managed the publication.

Some concepts present in the previous platform have been reinvented to allow a complete management of manuals with conditionality.
Nowadays the dynamic elements within the document are used a lot, allowing to generate a customized manual for the single machine based on a configuration profile.
The articulated management of translations also involves all the parametric components in a complete and flexible way.

A complex but always updated budget book

For years Arneg’s budget was drawn up with conventional manual systems (word and indesign) and its management required many resources.
Tighter and shorter deadlines, continuous variations and increasingly high graphic requirements required an effort in the creation of a seemingly simple document.
The method of creating the balance sheet for Arneg Spa was very different from the management of the consolidated balance sheet of the Arneg Group.
While the descriptive parts were being written, the numbers within the texts themselves and the tables changed quite frequently.

Complete budget in certain times
The creation of the budget in a short and certain time was a fundamental requirement for Arneg.
It was essential to keep under control the many numbers coming from the different sources without any manual intervention.
It was necessary to produce the budget in a precise manner and within a defined time frame to be ready for the board of directors and the shareholders’ meeting.
Arneg needed a system capable of guaranteeing a certain level of accuracy to obtain a budget with high quality graphics.

EKR-PIM with the Business Reporting module
For the realization of the balance book, Arneg adopted EKR-PIM with the Business Reporting module.
The Business Reporting module allows you to dynamically link the set of tables containing the balance sheet data and integrate the numerical values within the texts.
The tables coming from the ERP and their individual numbers have a direct integration within the EKR-PIM objects.
As the numerical values contained in the financial statements tables change, the individual and aggregate data contained in the notes to the financial statements and in the management report are updated continuously.

EKR allows you to build a single centralized database.
One of the main advantages of the system is that it leads you to manage only one data container, capable of ordering all the information, before divided between the various archives of the various company departments.
Even the translation management is very handy.
We appreciate the flexibility in generating and publishing different documents starting from a single master. With EKR we created the catalog and then we published it in 5-6 different language versions, maintaining a single graphic layout. The same for the technical manuals and for other documents that we intend to carry out, when we will be even better!
From a graphic point of view we work better than InDesign. With EKR we create established templates that are then reused, without having to get them back in each time. The uniformity that derives from it visually is definitely an improvement. Using InDesign released from the database always changed the details, the layout was never the same. Especially with the linguistic variants: in addiction to longer times, the document was never the same. With EKR, once the layout has been set, go away safely!
The centralization of the single data in the company is an organizational effort that surely costs, but it is a mandatory step. What you pay for otherwise is to always have redundancies and waste, not only of spaces for the storage of data but also of lost time in recovering what is actually the right information!
Having a central, aligned and maintained archive that is the only source of information is certainly the need of every company. Getting there from an organizational point of view is not easy, but it is the goal to aim for. We come from SAP, so we are already well established! EKR helps, indeed forces towards a solution of this type: it was a positive coercion! Giving too much freedom in these areas could be deleterious, if the purpose is to maintain an organized infrastructure and above all to guarantee the coherence of information.

The biggest advantage so far?
EKR forced us to collect the data in one place and organize them. The resulting automatic layout is definitely a benefit, but I think the aspect that will remain the most is cataloging.
Before EKR, I made all layouts by hand. Certainly there was a different flexibility: if I had to add to the last or make something stay, I just inserted it, one way or another. The effort we made with EKR was precisely to gather all the possible additions, sometimes it was almost necessary to foresee the future, just to avoid having to manually modify the documents.
It has been a busy month … to explain to EKR how corporate life unfolds we had to make a huge effort: piling up a whole world according to precise criteria was a big job. The organization of the data has been the subject of much discussion with Marco and the other EKR staff, above all on the WHO had to fix them!
I have to say that it was hard to agree, the reality of a corporate workflow is not always so linear: then we got a really wonderful job! Today the automatic layout of the resulting price list is a very productive aspect.
The documentation we produce with EKR stands out above all for higher quality. But also to insert different and sudden versions: in a short time today I could print the whole list with different prices.
EKR is a method that can be adapted to any business reality and any type of content, even if we use it mainly to lay out technical data: in my opinion is also suitable for updating a website or other media.
